Calendar module: How to guide

The Calendar module is a tool for creating, tracking and displaying events for users at a public or private level.

Before starting this tutorial, drag that the Calendar module onto your current page layout.

Creating a new calendar

To create a new calendar:

  1. Click on the module "Options" link and select "Activate Module".

  2. Enter a title for the calendar.

Multiple calendars may get set up in your site, so make sure you give the calendar a unique name (e.g. "Room 3" or "School Events").

  3. Decide if the calendar needs to be shared to specific users' Personal Calendars, or just displayed on the page itself.
For personal calendars: tick the "Enable sharing" checkbox (more details about Calendar sharing in this article). Otherwise, leave the checkbox un-ticked.

  4. Click "Create Calendar".

Navigating the calendar

There are two views for the Calendar module:

  1. Month view (default view)
Current month displayed with current week highlighted in blue.

  2. Week view (view when module is in edit mode)
The highlighted date range can be altered by performing two clicks on the calendar: the first click to select a new start date, and the second click to select a new end date.

Highlight selection can only span within the currently viewed month.

  • If there are events on days within the highlighted date range, they will be listed immediately below (or to the right, depending on page layout) the calendar itself. Clicking on these will open the event details window, where further information about the event can be read.

  • Events occurring outside the selected date range will display on the calendar as grey shaded dates.

  • To navigate forward or backward to different months, use the left/right arrow buttons displayed beside the current month's title.

To access the detailed Week view, simply click on the calendar's title along the top bar. This will open a pop-up window that displays the current week and any events within it.

  • To open any existing events, simply click on its even block in the day it is listed. This will open a pop-up window showing fuller details of the event.

  • To navigate forward or backward to different weeks of the year, use the Term Navigator listed along the bottom.

Each row displays in blue highlight the current week, term and year. Simply click on any one of the other period selectors shown to update the listing.

Tip: If you have browsed away from the current week and want to return to it quickly, simply click the current term and the view will automatically display the corresponding current week.

Adding events into the calendar

Adding an event

  1. Open the Calendar in Week view.

  2. If the event is occurring outside the current week, use the Term Navigator along the bottom to browse to the term/week in which your event is to occur. Once selected, click the Term Navigator's "Show/Hide" bar to close the panel.

  3. Next, hover over the day/date for the event in the weekly view and click to create the event. You will be prompted to fill in some details for the event.

    • "All Day event" - toggles if the event spans the full day, or if unchecked, becomes a timed event, where you can select a start and end time.

    • "Event Title" - this is the brief event title that is displayed in all the calendar views.

    • "Summary" - here you can enter more detailed information about the event if required.

    • "Repeat event" - you can select if the event is a recurring one. If so, you can choose to repeat it every day (with/without skipping weekends), every week or every fortnight.

    • "Repeat until" - where a recurring event has been selected above, this field allows you to specify until what date the repetition occurs till.

  4. Once you have entered the details for the event, click the "Create event" button at the bottom to save changes.

Editing/deleting events

To edit or delete an event in the calendar:

  1. Browse to the event to be edited in Month view and click on its title in the listing to bring up its details. Alternatively, you can open the calendar in Week view and browse to the event to be edited using the Term Navigator, then click on the event to bring up its details.

  2. In the resulting pop-up screen, click on the "Edit event" button at the bottom.

  3. Perform the necessary edits in the fields displayed, then click "Update" to save changes. If deleting the event, simply go straight to the "Delete" button at the bottom.
