Bulk creation of users

Once the CSV file of user data is ready, click on the Import Users tab. You will be prompted to browse for the file. Once the file has been located and selected, click [Import CSV] to proceed.

The first option in the import process (“Add new users only”) is used when inserting users for the first time. Selecting this option will prompt Ultranet to process the CSV file and create accounts for all the users listed, assign them to their corresponding groups, and then prompt whether to create virtual classes for these groups.

If you wish to alert users of their password as their accounts are created, make sure the “Email passwords for new accounts” checkbox at the bottom is ticked.

Click [Next] to begin validating the CSV file. If there are errors in the CSV, a pop-up window will outline the errors found.

If the errors are not too intrusive, Ultranet can be set to persist in processing the file regardless by clicking [Continue anyway]. Alternately, you can click on [Back] to abort the process, or click on [Print] to get a printed list of the errors as a reference if opting to fix all errors first.

If validation succeeds or you choose to proceed anyway, the next screen will display a summary of the user accounts found alongside the action requested (“Add”, “Update” or “Delete”). Clicking on each action title will show the list of users in that category (if any).

Importing users

Ultranet automatically selects the new users for processing. However, users can be selected/deselected/toggled further in this area using the preset functions listed as follows:

  • Select all in current page only

  • Toggle selected in current page

  • Select all

  • Select none

Warning: All deselected users in each category will not be processed.

Alternatively, you can leave the default settings. Click [Next] to process the selected users.

The subsequent screen will prompt you if you would like to create Virtual Classroom pages for all the groups found on the CSV file.

The summary of all groups and page status is listed under the appropriate heading:

  • New Group, Page exists

  • Existing Group and Page

  • New/Existing Group, Page Required

If existing groups or Virtual Classroom pages are found for the groups in the CSV, they will be listed in the corresponding first two sections (“New Group, Page exists” or “Existing Group and Page”). They will also be deselected by default, since no further action is required for this situation—these groups will either be automatically assigned access to the existing pages after the import or they will already have access. So you can click [Skip this step] to finalise the process.

However, if you have groups that require Virtual Classroom pages created, they will appear in the third section (“New/Existing Group, Page Required”). As with the previous user import screen, you can select/deselect classes to be created as required.

Once the selection is decided, click [Create Pages] and Ultranet will automatically set up a Virtual Classroom for each group accordingly, and assign the corresponding group to have access.

The final screen in the import process will present a summary of users and action status (e.g. “Added”, “Updated”, “Deleted” or “Error”). Once you have reviewed this, click [Done] to finish the import process.

Bulk updating of users

User information and details can also be updated in bulk using the CSV import.  The options available to be updated for users are:

  • The first/last name

  • The email address

  • The password

  • The year level

  • The SMS ID

  • The group membership

Note: Updates to a user's group membership replaces the previous settings, rather than append to them. For example, if a user was in 5 groups and 3 are added, all 8 must be on the updated CSV file. If only the 3 new groups are listed, the user will be removed from the previous 5 groups.

As with the initial bulk creation of users, you will require a formatted CSV file that contains the revised or new information to be updated.

To import the CSV file for processing, click on the Import Users tab.  You will be prompted to browse for a file.  Once the file has been located and selected, click [Import CSV] to proceed.

On the import options screen, click on the second option: "Add new users and update existing users".  A series of checkboxes beneath this allows you to customise the parameters of the update.  Deselecting an option means that parameter will be ignored in the import process (even if it contains information that has been modified).

Update users

Click [Next] to begin validating the CSV file.

From this point onwards, the process is identical to that outlined above for "Bulk creation of users".
